Do not manually add routine income or expenses. The Xero upload creates those rows.
  1. After Xero is reconciled, export the Account Transactions file for the month.
  2. Upload it here, skim Income and Expenses separately, then either import all rows for that month or remove rows that should not be imported.
  3. Review only the remaining exceptions: portal-only items, timing, cash buyers, or unmatched names.
  4. Sign off the month once the transaction layer is clean.
  5. Add aged receivables and aged payables for arrears chasing. See the aged reports box below for the separate upload, review, and sign-off steps.

Wayne already entered transactions manually, so compare portal vs Xero, add/match missing Xero rows, and explain or clear remaining portal-only differences.
  1. Wayne reconciles each month to bring down the discrepancy shown in the summary figures.
  2. Check Income and Expenses separately. Do not use Net first.
  3. If portal is higher, review for cash buyers, timing, duplicate manual entries, or arrears. If an item is not real, go to Monthly Income or Monthly Expenses for that month and remove the portal item there to bring the discrepancy down.
  4. If a future discrepancy appears, follow Xero as the source of truth and adjust or explain the portal difference.
  5. Clear reviewed items only when explained. Clearing does not delete the underlying record.
  6. Re-run the comparison and sign off each month once transaction differences are captured or explained.
  7. Aged receivables: upload the Xero aged receivables report here, then reconcile each item to portal arrears.

Data maintenance — duplicate invoices
The old recurring auto-roll occasionally created duplicate copies of the same supplier invoice. This finds exact duplicate copies and removes the extras, keeping one of each bill (including all recorded payments). A safety backup is taken before anything is deleted. New duplicates are now prevented at the server.

MDS Diversified Pty Ltd — S&B Empire Portal

1. Platform Provider

This platform is designed and built by MDS Diversified Pty Ltd ("MDS", "we", "us") for the operational and administrative use of MDS Diversified Pty Ltd ("the Customer", "you"). MDS is the technology designer and builder; MDS is not the data manager and does not own or operate the Customer's business.

2. No Data Ownership

All data entered into the portal — including but not limited to tenant records, lease documents, financial figures, payment schedules and uploaded files — is and remains the sole property of the Customer. MDS does not claim any ownership over Customer data.

3. No Verification of Data Accuracy

MDS does not verify, validate, audit or guarantee the accuracy, completeness, currency or suitability of any information entered into the portal — including but not limited to tenant details, lease terms, rent figures, bond amounts, start/end dates, lot allocations, compliance records, financial totals, auto-populated document fields, or any other Customer data. Any auto-fill, calculation, summary or pre-population feature is provided purely as a convenience; the Customer remains solely responsible for reviewing, correcting and keeping every field accurate and up-to-date for the full life of each record. MDS accepts no liability for errors, omissions, or outdated information in the portal, or for any documents, notices or decisions produced from that data.

4. Data Privacy & Security

The Customer is solely responsible for protecting its own data, including: cyber security, access control, password management, multi-factor authentication, backups, encryption, and compliance with all applicable privacy laws (including the Privacy Act 1988 (Cth) and Australian Privacy Principles). MDS does not provide cyber security services and does not monitor the platform for breaches. The Customer must obtain independent IT security advice and implement appropriate controls.

5. No Advice of Any Kind

MDS Diversified Pty Ltd holds no AFSL, ACL, or any professional licence of any kind. MDS is a technology design firm only — not a financial services provider, not a law firm, not an accounting/tax firm, and not a structuring or corporate adviser. Nothing in the portal constitutes financial, investment, lending, credit, legal, tax, accounting, structuring, governance, transport-regulatory, or any other form of regulated professional advice. The Customer acknowledges that it is solely responsible for obtaining its own independent legal, financial, tax, structuring and any other professional advice before relying on anything within the platform or making any decision based on its outputs. MDS expressly disclaims all liability for any decisions taken on the basis of platform content.

6. Limitation of Liability

To the maximum extent permitted by law, MDS will not be liable for any loss, damage, cost or expense (including indirect, consequential, special or punitive damages, loss of profit, loss of revenue, or loss of data) arising out of or in connection with use of the platform.

7. Intellectual Property

The platform's source code, design, structure, layout and underlying logic are the intellectual property of MDS Diversified Pty Ltd. The Customer is granted a non-exclusive, non-transferable licence to use the platform for its own internal business purposes.

8. Third-Party Services

The platform may integrate with third-party services (e.g. hosting, email, analytics). The Customer agrees to comply with the terms of those third-party providers and acknowledges that MDS is not responsible for third-party outages, data handling or policy changes.

9. Amendments

MDS may amend these Terms from time to time. Material changes will be notified to the Customer; continued use of the platform constitutes acceptance.

10. Governing Law

These Terms are governed by the laws of Queensland, Australia. The parties submit to the non-exclusive jurisdiction of the courts of that state.

11. Heavy Vehicle & Chain of Responsibility

The Customer is solely responsible for all obligations under the Heavy Vehicle National Law and Chain of Responsibility provisions, including driver fatigue, vehicle mass, dimension and load restraint, vehicle maintenance, and incident reporting. The platform does not constitute a certified fatigue, mass, or maintenance management system. The Customer must obtain its own independent regulatory and legal advice in relation to all transport-sector compliance.
